DATA PROTECTION AND GDPR STATEMENT
SUSSEX SWORD ACADEMY (SSA) 2018

The organising committee of the Sussex Sword Academy (hereafter referred to as “we”) will collect selected personally identifiable information from participants, enquirees, and registered visitors. This data collection is not limited to just email or off-line communication, but includes all forms of digital and hard-format means both formal e.g. registration forms, and informal e.g. social media.

The data we collect is used expressly for the administration of the SSA 21 event, it’s insurance, venue hire and support. It is for use by the SSA and will not be shared with any other organisations.

Collected data will be stored for not more than 24-months to allow year-on-year participation and will be anonymised every 24-months. Where information is given via a 3rd party format e.g. social media or Google form, the individual should consult their (separate) GDPR compliance statements and terms & conditions for details of data retention.

DATA SPECIFICALLY COLLECTED FOR SUSSEX SWORD ACADEMY EVENTS:

• Name
• Date of birth
• Email address
• Phone number
• Emergency contact

DATA NOT COLLECTED WHICH MAY BE ACCESSIBLE TO THE SSA ORGANISERS, BUT NOT USUALLY USED OR SAVED:

• Facebook profile
• Facebook friends
• Other social media

DATA SHARED WITH THIRD-PARTIES:

We use DojoExpert software for members and event management. By registrering for this event, you acknowledge that the information and data you provide to us will be transferred to DojoExpert for processing in accordance with their Privacy Policy and Terms. All data collected will be shared with DojoExpert.

For our other third-parties (see list below) data sharing will be limited to

• Names
• Email address

unless there is a medical or safety need to share more.

THIRD-PARTIES:

• Independent Martial Art Sports Association (IMASA) (Our insurer, in the event of a claim)
• St John’s Ambulance / NHS (in the event of an incident)
Balefire Blades (As an exhibitor)

VIDEO AND PHOTOGRAPHY RECORDINGS:

By registering to participate in a Sussex Sword Academy event(s) you are aware that the events take place in public & private venues and that the event organisers and other competitors as well as guests and visitors may wish to record events. The media recorded by the organisers or their official representatives will be used for marketing purposes. Any media recorded by any other individuals is outside the control of the organisers. By participating or attending any Sussex Sword Academy event (including prior to, during and after) you agree to be recorded and give permission for the resulting footage to be used. Should you (or guest) not wish to be recorded, you should inform the individuals undertaking the recording at the time of recording as to your wishes.

REMOVING CONSENT:

You may withdraw your consent at any time by contacting Sussex Sword Academy via email at Info@SussexSwordAcademy.org

OBTAINING A COPY OF YOUR DATA:

You may get a copy of any data we have stored about you (in electronic format) by submitting a request to Info@SussexSwordAcademy.org

DELETING YOUR DATA:

You are entitled to ask us to delete all personal data that we hold on you by submitting a request to Info@SussexSwordAcademy.org
